Duties Description

The selected candidate will provide administrative support to the Director of the Jones Beach Energy & Nature Center, serves as a liaison between the Center and various Parks departments (Revenue, Purchasing, Admin, Storehouse), manages office operations, and supports the front desk as needed.

Duties include, but are not limited to:
• Assist the Director by scheduling all meetings and managing their Outlook calendar.
• Maintain the Center’s calendar, in collaboration with the Education Team.
• Coordinate external room rentals and associated event logistics.
• Oversee all revenue collected from fee-based programs, input data into State financial systems, and generate weekly reports.
• Purchase all office supplies and program materials, using a state-issued procurement card (p-card).
• Generate and maintain purchasing and budget reports.
• Organize and maintain digital program files and confidential personnel files.
• Complete travel vouchers and arrange travel for Director and staff as needed.
• Assist with organizing events, lectures, and rotating exhibits.
• Answer patron inquiries, phone calls and emails in a professional and timely manner.
• Perform other related duties as assigned.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

No minimum qualifications per Civil Service.

Preferred Qualification: a bachelor’s degree or a High School degree and three years of administrative work experience.

Additional Comments

OPERATIONAL NEEDS:
• Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment.
• Strong familiarity with Microsoft Office; familiarity with Adobe preferred.
• Excellent written and verbal communication.
• Must possess strong organizational and critical thinking skills and the ability to work independently or on a team.
